Weekly Update - December 20, 2011

New Year's Eve Holy Ghost Party
First Church in Hyattsville is hosting a New Year's Eve Holy Ghost Party on December 31, 2011 from 10:30 p.m. through 1:30 a.m. See flyer for more details.

General Inclement Weather Policy/Holidays
The BWC Conference Mission Center will follow the inclement weather schedule of Howard Community College regarding during periods of snow and ice. If you are in a Discipler Group, the specific inclement weather policy has been set based on the church where your group is located. That schedule can be found on our website. Make sure to print that list out and keep it for future reference. Please check your local news station for information on opening delays or closings of the Howard Community College.

This year Christmas Eve, Christmas Day & New Year’s Day fall on weekends so the Baltimore-Washington Conference will be CLOSED on:

Friday, Dec. 23, 2011, for Christmas Eve;

Monday, Dec. 26, 2011,   for Christmas Day;

Monday, Jan. 2, 2012,   for New Year’s Day.

Charge Conference
Now that your charge conference is over please remember to go back into Gateway and submit ALL the reports including the Annual Reports for Lay Speakers, Certified Lay Ministers and the Certified Candidates for Ordained Ministry. Make sure to record the votes and enter the other information voted on at your Charge Conference.

Also if you haven't entered your Call to Action Numerical Goals please go into UM Vital Congregations and enter those numbers too.

Please be sure that all new church leaders are entered into the Gateway system. New and existing leadership records should contain a current phone number, e-mail and/or mailing addresses and have term start dates. If term finish dates are known, they should be entered.

Missing, outdated or incorrect information regarding church leadership prevents the BWC from communicating effectively with church leaders and breaks numerous key BWC processes, including Annual Conference Registration & Voting Designation.

Clergy & Church Evaluations
Your guide and district superintendent are in the process of reviewing the clergy and church evaluations you submitted the beginning of December. Pastors are encouraged to log back into Gateway AFTER January 31, 2012 to view their comments and feedback.

Is Your E-mail Address Correct in Gateway?
Missing, outdated or incorrect information regarding church leadership prevents the BWC from communicating effectively with church leaders and breaks numerous key BWC processes, including Annual Conference Registration & Voting Designation.

Now is also a good time to be sure that all new church leaders are entered into the Gateway system. New and existing leadership records should contain a current e-mail and/or mailing addresses and have term start dates. If term finish dates are known, they should be entered. A minimum of one phone number is also helpful just in case an email bounces.

You can check or update your profile simply by logging into the Gateway System. Contact Candice if you need your Gateway user name and password.

Statistical Report Website Up and Running!
The NEW statistical report website is now up and running. GCFA’s site has a new location (http://ezra.gcfa.org). It works the same as before, it just looks different.

GCFA Validations

  • Almost every field in the GCFA system has been programmed with validation checks. Typically, these will flag entries over a certain maximum amount or x% (more or less) than the previous year’s reported amount.
    • Maximums are based on amounts reported last year and the type of data being reported.
      • For example, if a church reports their AWA number and it is above 999 or it is 30% more or less than last year, then a warning will be displayed. This is because no church in our conference has an AWA above 999 and a 30% swing in this number would be very unusual.
      • Lines that deal with expenses tied to apportionment calculations (like pastor comp) have a 15% variance check.
    • Churches can save the data as they go (even if it has warnings). However, they MUST explain all line warnings BEFORE they can submit their statistics to the BWC.
  • New  Information requested
    • Line 36SF – Requests the Overall Square Footage of Church Owned Buildings (Furnished and unfurnished areas)
  • Missions & Ministry
    • We received a BUNCH of feedback on how we asked for Mission & Ministry numbers (# of missions, # of people impacted/served and # of people participating). This section (Lines 30-35) has been reworked for clarity.

Visit our website for more information about statistical reports.

Statistical Reports 2011 Training and Important Dates Update
We had a nice turnout at the statistical report training that was held a few weeks ago. For those of you who could not attend. You can check out a copy of the training manual and PowerPoint presentation that was used during the training. You can also access the table instructions and a blank table that you can begin working on. We will also be housing these files on the Washington Region webpage for easy access. Just a reminder that the statistical report deadline is Tuesday, January 17, 2012 at 12 p.m. (Noon)! Please do not wait until the last minute to work on your report. The Conference Mission Center will be closed for the Martin Luther King Jr. Holiday on Monday, January 16, 2012. No one will be available that day to answer calls or emails. Be sure to plan ahead!

Leadership Day Update!
We currently have 59 people registered for Leadership Day! Registration ends on January 15, 2012. Please don’t wait until that weekend to register. Due to space requirements, many of our classes will close once they fill up. In order to get the class you want, register early! Please share the flyer with your congregation.

Regional Administrator Vacation
Pam will be on vacation during the week of December 26, 2011 and will return to the office on Tuesday, January 3, 2012. For anything that cannot wait until she returns, please email Candice or call her at 410-309-3484. Have a safe and wonderful Christmas and New Year!
